What we collect
- Contact details you give us — such as your name, email, phone number and the message you send through our contact or callback forms.
- Client information — if you become a client, the financial and identity information we need to deliver our services and meet our legal obligations.
- Technical data — with your consent, anonymised analytics about how the site is used (see our Cookie Policy).
How we use it, and our lawful basis
- To reply to your enquiry — lawful basis: your consent and our legitimate interest in responding to you.
- To provide our services — lawful basis: performance of our contract with you, and compliance with our legal obligations (for example, anti-money-laundering and tax law).
- To improve the website — lawful basis: your consent, given through our cookie banner.
Who we share it with
We never sell your data. We share it only where necessary: with HMRC and Companies House to file on your behalf; with trusted software providers (such as our cloud accounting and email systems) acting as our processors under contract; and where the law requires it. All processors are bound to keep your data secure.
How long we keep it
We keep enquiry data for up to 24 months, unless you become a client. Client records are kept for at least six years after our engagement ends, in line with HMRC and professional requirements, then securely deleted.
Where your data is stored
Your data is stored on secure systems within the UK or European Economic Area wherever possible. Where a provider processes data outside the UK/EEA, we ensure appropriate safeguards (such as the UK International Data Transfer Agreement) are in place.
Your rights
Under UK GDPR you have the right to access your data, to correct it, to erase it, to restrict or object to its processing, and to data portability. Where we rely on consent, you can withdraw it at any time. To exercise any of these, email admin@hkaccountax.com and we'll respond within one month.
How we protect your data
We use encryption in transit (HTTPS), access controls, and the security standards expected of an ACCA member firm. Our forms are protected against spam and abuse.
Complaints
We'd always rather you came to us first. But you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it last changed.
